Efficient Work Order Management for HVAC Companies

In the HVAC service industry, there are huge numbers of work orders that come in every day from customers. These requests must be adequately managed and utilized in a way that quickly fulfills client needs and prevents their company from wasting valuable resources. These resources go beyond time and money; tech utilization needs to be at an optimal level, or you could face employee burnout or underutilization of the mobile workforce.

Mobile work order management is an effective solution for managing customer calls, preventative maintenance and streamlining day-to-day tasks for your HVAC technicians. Historically all these work orders were executed by paper forms and checklists. Imagine the amount of paperwork associated with one piece of equipment! From installation to maintenance, there can be numerous line items for each unit. If techs are empowered with all the latest mobile tools, they can ditch the paper, reduce the risk of error and sync to the back office instantaneously! The work orders are accessible through mobile and can be updated with all the latest customer data. The work orders can now be closed off on site, appended with images and associated documentation, signature collected and invoice sent off!

HVAC units need to be regularly maintained so that equipment failure does not occur. Work orders are generated straight from the contracts for periodic maintenance visits. These preventative maintenance work orders can be generated at pre-determined intervals. Maintenance visits are regularly scheduled, which means reduced equipment downtime!

With profit margins in equipment sales going down, contracts are becoming the profit center. It is not enough to just sell the contract, but HVAC companies must retain their client’s business. By automating their service management, they can offer quick response times, first-time fixes and accurate billing. Managing your work orders through mobile software can reduce costs and simplify the process of tracking company communication, sending tasks to the right people, and keeping clients updated on your work.
